Institutional & Bulk Order Terms
Terms for schools, clinics, and multi-unit Fleet buyers, separate from the individual terms of service.
Draft — Effective Date: [To be set upon publication] Prepared July 30, 2026. These terms apply in addition to, and where noted supersede, our standard Terms of Service, Pre-Order & Deposit Terms, Shipping & Returns, and Warranty Policy.
1. Who This Applies To
These terms govern purchases by churches, homeschool co-ops, community groups, schools, nonprofits, government/emergency-response entities, and other organizations purchasing multiple units or enrolling in our Fleet plan — as distinct from an individual purchasing a single unit for personal use.
2. How Institutional Pricing Works
Unlike individual orders, bulk and institutional pricing is not self-service. If you're purchasing more than one unit, reach out through our Contact Us form with "Bulk/Institutional" selected, and we'll work out volume pricing directly with you. Once pricing is agreed, your resulting order(s) are marked with a commercial flag internally — this doesn't change how you check order status (same email + order number lookup as any individual order), it simply tells our team your order is part of a negotiated institutional arrangement.
3. Quote-Based Terms Control
Any pricing, deposit amount, payment terms (including invoicing or purchase-order arrangements, if offered), minimum order quantities, and delivery scheduling agreed in your institutional quote take precedence over the standard consumer-facing terms described in our Pre-Order & Deposit Terms, where they conflict. Absent a specific agreed term, our standard consumer terms apply by default.
4. Payment
Standard orders are billed by deposit-plus-remainder through our online checkout. Institutional orders above a certain size may be eligible for alternative payment arrangements (e.g., invoicing with net payment terms) — this is negotiated per order and is not available through self-service checkout.
5. Fleet Plan Subscription
The Fleet plan extends our Content Refresh, Model Upgrade, and Hardware Care Plan subscriptions across multiple units under one institutional relationship, with a single point of contact for your organization rather than per-unit management. Fleet plan billing, renewal, and cancellation terms will be confirmed at signup and are otherwise governed by our standard Subscription Terms except where your Fleet agreement states differently.
6. Order Lifecycle
Institutional orders move through the same lifecycle as individual orders — Reserved → In Production → Shipped → Delivered, with Cancelled and Return/RMA branches — tracked per unit. Your organization's point of contact can look up all orders tied to your email address in one lookup.
7. Warranty
Each unit in an institutional or Fleet order carries the same per-unit hardware warranty described in our Warranty Policy, unless your quote specifies enhanced coverage.
8. Cancellation and Returns
Absent a different arrangement in your quote, institutional pre-orders may be cancelled for a full refund any time before shipment, consistent with our standard Pre-Order & Deposit Terms, and delivered units are subject to our standard Shipping & Returns policy. Large institutional orders with custom terms should have those terms confirmed in writing at the time of quote.
